Minnesota PD Improves Efficiency with ScheduleAnywhere

Customer

The Rogers Police Department is commanded by Chief Jeffrey Beahen. He has over 35 years of law enforcement experience, including with the city of Anoka, City of Elk River and the Minn. Bureau of Criminal Apprehension. The department employs 18 full-time licensed peace officers, which includes Chief Beahen, four patrol sergeants, two school resource officers, two investigators and nine patrol officers. The department also has two administrative assistants, one full-time community service officer and one part-time community service officer.

Challenge

Administrators at the Rogers, Minn. Police Department had been manually creating staff schedules on paper and posting it in the office. Using this method, it took days to complete their annual schedule. Additional time was spent managing personnel or shift changes, time-off requests, and variances in manpower demands. Time-off requests were submitted on paper and were often misplaced. Additionally, requests could take up to 45 minutes to examine and approve, so they were often not reviewed until a supervisor had time set aside to do so. A paper schedule meant officers and administrators could only access the schedule if they were in the office. Changes to the schedule were handwritten, and it was difficult to communicate the changes to the entire staff. This made it difficult to know if everyone had the most current schedule information. Managers and supervisors spent additional time manually calculating and monitoring shift coverage and manpower allocations.

“With our previous method, we had to be in the office to see the schedule. If someone was away from the office or out of town, they had no access to the schedule.” Chief Jeffrey Beahen

Solution

The Rogers Police Department adopted ScheduleAnywhere as its staff scheduling solution, which eliminated paper schedules and streamlined the scheduling process. The software allows administrators to copy schedule patterns and rotations, which saves them time when creating the schedule. ScheduleAnywhere gives officers and administrators 24/7 access to real-time schedules, so everyone always has up-to-the-minute schedule information. Officers can now submit cover, swap, time-off and other schedule requests anytime from anywhere via the free mobile app. Administrators can instantly see if the request conflicts with any previously scheduled shift, and easily accept or deny requests. When changes are made, the schedule is automatically updated, and everyone whose schedule was affected is notified. ScheduleAnywhere performs staffing calculations based on the department’s specific criteria, so administrators always know whether there are too many or too few employees scheduled. This allows them to better manage shifts and reduces unnecessary overtime.

“ScheduleAnywhere is a cost-effective, easy-to-use solution for agencies of any size. Integration took less than an hour, and new hires require just a few minutes of training to understand and use the system.” Chief Jeffrey Beahen
