Dragonfly Therapy Implements New Staff Scheduling Software
Three patient care locations improve staff scheduling with ScheduleAnywhere
Fargo, N.D. (July 1, 2019) - Atlas Business Solutions, Inc. announced today that Dragonfly Therapy, Bangor, Maine, has implemented ScheduleAnywhere as its scheduling solution. ScheduleAnywhere online employee scheduling software makes it possible for Dragonfly to share schedules between each of its three patient care locations, as well as with its corporate office, and to access real-time schedules from any computer or mobile device.
ScheduleAnywhere replaces the scheduling capabilities of Dragonfly's time and attendance software scheduling system, which did not support the facility's complex reporting requirements and did not allow the patient care locations to share schedules.
"We were not able to see a complete schedule with all of our employees on it at once," said Amanda Foley, human resource and payroll manager for Dragonfly Therapy. "We ended up creating an Excel spreadsheet to tell us which employees were working on each shift. That became an issue whenever more than one person was trying to view it, and we were updating it so often it was always in use."
With ScheduleAnywhere, employees can appear on more than one schedule, and managers can share employee schedules with other departments and locations. This prevents scheduling conflicts such as overlapping shifts and double-booking employees. Additionally, managers can view total hours scheduled across the entire organization to reduce unnecessary overtime.
ScheduleAnywhere performs staffing calculations based on census counts or acuity numbers and calculates hours per patient day to ensure proper shift coverage and staffing ratios. Managers can enter staffing requirements and adjust staffing levels daily or maintain a constant staffing level. Coverage can be monitored by skill, position, shift, department or location.
"The coverage watch feature is what first attracted us to ScheduleAnywhere, and it has been life changing for our staff," said Foley. "With the previous system, we had to look through schedules day by day and manually count how many people were scheduled. Now, we can instantly see whether we have too few or too many employees scheduled for each shift."
Therapists have 24/7 access to the most current schedule via ScheduleAnywhere's mobile app. They also can submit cover, swap, time-off and other schedule requests online. The appropriate manager is notified and can see whether the request conflicts with any previously scheduled shift. The manager can accept or deny the request, and the schedule is immediately updated to reflect changes. The therapist or therapists whose schedule is affected by a change will receive a notification.
Additionally, ScheduleAnywhere tracks attributes such as skills and certifications and allows managers to communicate with individuals, or a select group of employees, to fill open shifts with qualified personnel.
